Capture enough to act
A team needs relevant contact information, the source of the enquiry, the customer’s need and a clear property or service destination. Keep capture proportionate to the job rather than making every form a questionnaire.
Connect the external and internal journeys
The customer sees an advert, a page, a form and a reply. Internally, the team needs capture, assignment, follow-up and a recorded outcome. Designing both journeys together helps reveal gaps that a page redesign alone will miss.
Follow up with purpose
Workflow rules should respond to the actual stage of a conversation. An unanswered quote and a new enquiry require different actions. Review the timing and wording with the people handling customers.
Measure the handovers
Look at response time, stage movement and the reasons an enquiry stops progressing. Use those observations to improve the process. A tool dashboard is useful only when the underlying records reflect how the team works.
